The Salesforce Administrator is responsible for the day-to-day configuration, administration, and optimization of the PT Solutions Salesforce platform. This role manages user access, data integrity, system customization, and integration with third-party tools to ensure Salesforce supports accurate data, operational efficiency, and business decision-making. The Salesforce Administrator serves as the primary point of contact for platform-related support and enhancement requests, collaborates with cross-functional stakeholders to translate business needs into system solutions, and performs other related duties as assigned to support Information Technology and broader operational programs.


In addition to Salesforce responsibilities, this role provides general clinical application support across PT Solutions' technology environment. This includes assisting end users with clinically integrated software platforms, coordinating with vendors and IT teams to troubleshoot application issues, supporting onboarding and training for clinical staff on relevant systems, and ensuring clinical applications remain functional, compliant, and aligned with operational workflows. The Salesforce Administrator works collaboratively with clinical and administrative teams to maintain continuity of care-supporting technology and escalate issues as appropriate to minimize disruption to clinical operations.

 

Essential Functions


User & Access Management

  1. Create and deactivate user accounts.
  2. Assign and manage profiles, roles, and permission sets to ensure appropriate access controls.
  3. Perform mass account transfers to appropriate users as organizational changes occur.
  4. Monitor login activity, investigate anomalies, and troubleshoot access issues for end users.


Data Management

  1. Perform weekly data injections and address deduplicate records.
  2. Collaborate with stakeholders to develop and maintain reports and dashboards that support business operations.
  3. Utilize the Salesforce Load Exceptions Dashboard to identify and correct missing or incorrect NPIs for accurate referral and evaluation data.
  4. Ensure ongoing data security, quality, and compliance with organizational standards and regulatory requirements.


Customization & Configuration

  1. Create and modify objects, fields, and relationships based on approved change requests and business requirements.
  2. Manage record types and page layouts.
  3. Set up and update workflow rules, Process Builder flows, and validation rules to automate business processes.
  4. Configure formula fields and validation logic to enforce data quality and support operational workflows.


Security & Access Management

  1. Configure changes to organization-wide defaults (OWD) and sharing settings per approved requests.
  2. Set up and maintain field-level security and object permissions for new and existing data sets.
  3. Monitor security event logs and proactively address identified vulnerabilities or unauthorized access.


Integration & App Management

  1. Manage installed AppExchange applications and evaluate new tools for organizational fit and security compliance.
  2. Configure and maintain integrations with third-party tools.
  3. Maintain API connections and integrations; troubleshoot synchronization and data flow issues as they arise.


System Maintenance & Performance

  1. Monitor system limits, data storage usage, and platform performance to ensure stability and scalability.
  2. Apply Salesforce seasonal releases and test changes in sandbox environments prior to production deployment.
  3. Perform periodic health checks and configuration audits to identify and remediate risks or inefficiencies.
  4. Document all configurations, customizations, and changes to maintain a complete and accurate system record.


User Support & Training

  1. Serve as the primary point of contact for Salesforce user support; manage and resolve platform-related tickets.
  2. Stay current with Salesforce releases, new features, and best practices; evaluate and implement applicable updates.
  3. Provide end-user guidance, best practices documentation, and adoption support to maximize platform utilization.


General Clinical Application Support

  1. End-user support for clinically integrated platforms (scheduling, EMR-adjacent tools, etc.)
  2. Vendor coordination and ticket escalation for application issues.
  3. User onboarding, training, and documentation for clinical staff.
  4. Participation in application change control and release testing.


Required Skills & Abilities

  1. Proficiency in Microsoft Word, Excel, and Windows-based applications.
  2. Strong written and verbal communication skills with the ability to explain technical platform issues to non-technical stakeholders.
  3. Demonstrated ability to prioritize workload, manage multiple concurrent tasks, and meet deadlines in a fast-paced environment.
  4. Solid understanding of Salesforce platform architecture, including objects, fields, relationships, profiles, roles, and permission sets.
  5. Hands-on experience with Salesforce data tools such as dataloader.io, Data Import Wizard, or similar utilities.
  6. Familiarity with Salesforce automation tools including Flows, Process Builder, or Workflow Rules.
  7. Understanding of Salesforce security model including OWD settings, sharing rules, and field-level security.
  8. Strong analytical and problem-solving skills with the ability to interpret data quality issues and recommend practical solutions.
  9. Ability to work collaboratively with IT, operations, compliance, and business stakeholders to drive platform adoption and data accuracy.


Required Credentials

  1. Bachelor’s degree in Information Systems, Computer Science, Business Administration, or related field; OR 1–3 years of experience in Salesforce administration, CRM management, or a similar role.
  2. At least one relevant certification is preferred, such as:

  4. Salesforce Certified Advanced Administrator
  5. Salesforce Certified Platform App Builder
  6. Other equivalent Salesforce or CRM certification
