About the Position

We’re looking for a talented, obsessive Salesforce Administrator to lead the ongoing development of our salesforce.com deployment. What You’ll Do

The Business Analyst – Salesforce will join a small team within the Technology Services department to maintain and support TNTP’s Customer Relationship Management (CRM) system, Salesforce. The Salesforce Administrator is responsible for the configuration and maintenance of the New York Cares’ Salesforce platform as well as ensuring data integrity. This is an integral part of volunteer/donor/project tracking and data management for the organization. The Salesforce Administrator position requires business analyst skills such as meeting with stakeholders, prioritizing requests, managing projects, and translating non-technical requirements to technical audiences and vice-versa. Attention to detail and a high level of organization are a must.  This position has the potential to grow into a developer role.

Examples of potential upcoming projects with Salesforce include updating our version of Nonprofit Start Pack, collaborating with our web developer to improve our Salesforce/Drupal integration, and increasing business process automation using Conga and Zapier.

The position will report to the Director of Technology and collaborate with the other members of the four person technology team to meet all the technology needs of New York Cares.

Responsibilities

 

  • Designing and implementing technical solutions using Salesforce and related systems to aid the continued growth and success of New York Cares. Including:
    • Creating and managing complex workflow rules, data validation, triggers, and flows.
    • Creating and troubleshoot customized reports and dashboards.
    • Ensuring integrity of the system including ongoing duplicate consolidation.
    • Identifying and configuring apps from the AppExchange that limit the need for extensive custom code.
    • Identifying, documenting and automating manual processes  currently performed by programmatic staff.
  • Identifying and helping to implement improvements to our internal department processes.
  • Participating in Disaster Recovery and System Continuity planning, implementation, and testing.
  • Assisting technology staff in responding to technical emergencies or outages.
  • Developing training programs for all staff on Salesforce and other business tools.
  • Assisting with the inventory of equipment and help answers general technology department questions when staffing is limited.
  • Maintaining and furthering technical knowledge by attending webinars, workshops, and reviewing professional publications.

 

Qualifications

 

Technological

  • 3 years working with Salesforce.
  • Certified Salesforce Administrator (201) and Conga certification preferred.
  • Creation and customization of Salesforce Objects, Record Types, Page Layouts, Fields (including advanced formulas, lookups, and master-detail), Apps, Tabs, Profiles, Security, Users, Approval Processes, Workflow, Reports, and Dashboards.
  • Knowledge of data validation and data cleanup techniques.
  • Ability to troubleshoot Apex and Visualforce.
  • Knowledge of basic UX principles.

Additional

  • Comfort with collaborating with Technology department staff, and across the organization, to determine the most efficient and accurate solution to a problem.
  • Effective project management skills.
  • Ability to occasionally work after hours for planned down-time or emergency problem solving.

Salary

Position Summary

The Junior CRM Administrator will be responsible for managing, editing, and customizing the Salesforce/TargetX application to fit the needs of HERS (Higher Education Resource Services) in support of enrollment goals and operational needs. The Junior Administrator will also be responsible for training, coaching, and supporting HERS staff who will be utilizing the software, including any associated reporting tools. The Junior Administrator will be expected to implement processes and workflows to support the enrollment goals of the organization, as well as produce analytical reports to show progress toward these goals.

 

Essential Functions

  • Manage the TargetX CRM application for the organization, including executing maintenance tasks as required, performing system monitoring activities, as well as configuring ongoing updates in support of changes to admissions and retention processes, user set-ups, and permissions and access.
  • Design and execute solutions for common challenges such as data mapping, object modeling, page layout design, and workflow rules within the context of the Salesforce platform.
  • Build reports and dashboards as requested by Enrollment and other business areas as needed.
  • Manage content for HERS’ online recruitment tool, including content tailored to specific audiences.
  • Execute weekly operational duties in support of TargetX, including de-duplication and other data quality tasks.
  • Provide technical support to HERS staff.
  • Assist with the identification, evaluation, and selection of various technology applications to support the organization and the delivery of programs.
  • Manage the acquisition, distribution, and maintenance of licenses for staff use.
  • Create and maintain training materials and user documentation to support business and technology needs.
  • Deliver training as needed to various on-campus groups or individuals based on demand. 
  • Serve as the primary subject matter expert for the CRM application.
  • Serve as the primary liaison between the business and technology in support of the Salesforce / TargetX platform and application.
  • Identify, document and manage the cycle of open issues.
  • Serve as the primary liaison with the TargetX vendor, executing effective vendor management practices and ensuring issues receive the appropriate support and escalation.
  • Perform other duties related to the CRM application as required.

 

Knowledge, Skills and Abilities

  • Considerable working knowledge of the applications in the Microsoft Office Suite (e.g., Microsoft Word, Excel, PowerPoint and Outlook).
  • Demonstrated experience using workflow rules, reports/dashboards, and formulas.
  • High level of integrity in dealing with confidential and sensitive information required.
  • Positive attitude and outstanding degree of professionalism required.
